An AI Admissions Assistant Serving 50+ Senior Care Facilities

Every senior care operator knows the admissions problem. A family lands on a facility website at 9 PM, anxious and comparing options. If the only path forward is a phone number and a contact form, most of them leave. Eden Senior Care, a 50+ facility operator, had a chatbot from an incumbent vendor. It answered questions poorly, captured little usable information, and the admissions team could not trust what came out of it.

What We Built

We replaced the incumbent with an AI admissions assistant built on the Claude API, the Vercel AI SDK, and Supabase. It handles inbound inquiries and tour scheduling across all facilities. It answers real questions about care levels, availability, and next steps in plain language, grounded in each facility’s actual information rather than generic scripts.

The difference is in the data. The assistant captures 14 structured data points per lead: who the inquiry is for, care needs, timeline, location preferences, and contact details. Every conversation ends as a structured record in the operator’s WelcomeHome CRM, not a transcript someone has to read and re-key.

The Integration Reality

Senior care technology lives or dies on integration. A chatbot that does not feed the CRM creates work instead of removing it. We built the pipeline from conversation to CRM record, mapped to the fields the admissions team actually uses. The same architecture connects to the PointClickCare ecosystem the industry runs on.

The Takeaway

AI in senior care is not about novelty. It is about capturing the 9 PM inquiry, qualifying it properly, and putting it in front of the admissions team as structured data by morning.
